The Office Services Assistant will be an integral part of the Office and Facilities Team providing general administrative support to the Portland office. This role is a fulltime, non-exempt, in-office position, working 9:00 a.m. to 5:30 p.m., with an unpaid hour lunch break. The Office Services Assistant responsibilities include, but are not limited to: overseeing office supplies inventory and stocking; monitoring conference room calendars and setting up conference rooms and/or conference center for meetings; stocking paper at various printer locations throughout the office; replenishing supplies in multiple kitchens; managing incoming and outgoing mail; operating and troubleshooting office machines such as photocopiers, scanners, CD labelers, binding equipment and mail machines; and word processing. Additionally, when assistance is needed by other Office Services team members, large scale copy, scan and binding projects, including sorting, assembling, and proofing completed work. The Office Services Assistant will also serve as backup for reception coverage.

The ideal candidate will be friendly, reliable, and enjoy helping others. Applicants should have general computer knowledge (including Outlook, Word, and Excel) combined with an attention to detail, ability to lift twenty-five (25) pounds overhead, and maneuver heavy office equipment. A high school diploma is required with some office experience strongly preferred. Applicants should have strong organizational skills and must have the ability to prioritize tasks successfully to meet fast paced department deadlines in a high-pressure environment. The successful candidate will be team-oriented, professional, and open to learning new skills.

This role is a full-time, non-exempt position supporting attorneys in our Intellectual Property Practice Group. This position is responsible for providing overall quality support for all aspects of U.S. and foreign trademark prosecution and portfolio management. Responsibilities include but are not limited to: preparing and filing new trademark applications, Statements of Use, Office Action responses, and renewal and maintenance filings with the U.S. Patent and Trademark Office; managing a docket and ensuring that all trademark deadlines are accurately recorded and monitored; reporting, processing, and maintaining assigned prosecution matters; corresponding directly with clients and foreign associates; and responding promptly with the ability to successfully multi-task in a fast-paced environment.

The ideal candidate will be a motivated self-starter with strong written communication skills and at least two (2) years of experience with U.S. and foreign trademark prosecution. Familiarity conducting trademark clearance research, managing Trademark Trial and Appeal Board proceedings, and submitting filings with the U.S. Copyright Office is helpful. A Bachelor’s degree and/or Paralegal Certificate is a plus. The successful candidate will be capable of producing high quality work in a timely and professional manner, while providing exceptional client service and team support.

The successful candidate will have exceptional attention to detail, strong organization skills and advanced computer skills (including Outlook, Word, and Excel). Applicants should have proven project management skills, the ability to work independently, and prioritize tasks successfully.

Ideally, this position will be based in a Verrill Office (Portland, ME; Boston, MA; Westport, CT), but a fully remote arrangement may be considered for the right candidate. This role will be required to work during East Coast business hours (8:30 a.m. – 5:00 p.m.) regardless of location.
